Account information: When you sign up, we collect your name and email address.
Class profile data: You may optionally provide aggregate class composition data (student counts, accommodation types, reading levels). No field anywhere in Auto Classmate asks for a student's name or individual student records — the product is designed to work entirely from group-level information.
Content you create: Your lessons, units, resources, reflections, chat conversations, and any files you upload are stored so the service can work. Free-text fields and uploaded files are stored as you provide them, which is why our Terms of Service require that you never include student names or other student-identifying information in anything you type or upload.
Usage data: We log which features you use and how often, to improve the product. We do not track you across other websites.
Payment data: Payment processing is handled entirely by Stripe. We never see or store your full credit card number.
We use your data to: provide and improve the Auto Classmate service, generate AI-powered lesson plans and resources tailored to your class, send you account-related communications, and process payments.
When you generate content, what the generator needs is sent to OpenAI's API for processing: your topic, grade, standards, aggregate class composition, and the relevant free text you have provided — class notes, custom instructions, chat messages, excerpts from your own reflections used as context, and text extracted from files you upload. This content is sent as you provided it; we do not have a reliable way to detect and remove student-identifying information you place in free text or documents, which is why our Terms prohibit including any.
Three safety nets reduce the chance that student-identifying content appears in AI output: every content-generation request instructs the AI never to include or invent individual student names; AI-generated sub plans additionally pass an automatic name-scrubbing step; and when you save a class profile, the free-text you entered may be sent to OpenAI for an automated student-privacy review that warns you if it appears to contain a student's name. (Requests that translate or transcribe your own content verbatim are excluded from the no-names instruction, since altering it would corrupt the output — one more reason never to upload student-identifying documents.) These are safety nets, not guarantees.
OpenAI does not use API inputs to train its models, and retains API data briefly for abuse monitoring under OpenAI's data usage policy. When our processing accelerators are enabled, generation requests are queued and processed on Cloudflare infrastructure we operate on their way to OpenAI; prompt content is held there for the life of the request, plus short-lived operational logs.
Auto Classmate is designed to operate without student personally identifiable information. No feature asks for a student's name or records; class profiles are built around aggregate composition (counts, accommodation types, reading levels); content generations are instructed never to use or invent student names, with automatic name-scrubbing on sub plans as an additional safety net; and files you upload are stored encrypted.
Auto Classmate is not intended to receive or maintain education records as defined by FERPA, and our Terms of Service prohibit entering or uploading student personally identifiable information — student names in any text field, or documents that identify students such as rosters, IEPs, or graded student work. Teachers and schools remain responsible for what they submit. If you inadvertently submit student information, delete the item, then contact us at info@autoclassmate.io so we can confirm complete cleanup — generation records created while the information was present can hold excerpts, and we will purge those with you. Schools or districts with FERPA or state student-privacy requirements should contact us before adopting the service.
Your lessons, resources, and class profiles are stored for as long as your account exists, whether or not you have an active subscription. Canceling a subscription does not delete anything. Your work stays in your account and is there if you come back. You can delete any individual item at any time from your dashboard, and you can delete your account and everything in it from Settings, which removes your content permanently.
Some records are pruned on a schedule regardless: generation job rows, which hold the prompt used for a request, are deleted within 30 days of the job finishing (typically within a day), and usage log rows, which hold no prompt text, are deleted after 90 days. If you share an item, it stays readable at its share link until you delete the item or the link; results from the free tools that you email to yourself are held at a private link for 30 days.
All data is transmitted over HTTPS. Files you upload are stored encrypted at rest, with the encryption key held separately from the uploaded files and outside the database. The platform is hosted on enterprise WordPress infrastructure (Pressable) with managed security, automatic backups, and DDoS protection via Cloudflare.
We use a small number of service providers to run Auto Classmate: Pressable (hosting), OpenAI (AI processing), Cloudflare (network security, and processing accelerators that relay generation requests when enabled), Stripe (payments), Mailgun (transactional email delivery), Mailchimp (our newsletter, only if you subscribe), and Google (only if you use the Google Slides export: the deck is created in our own Google Drive, shared as an unlisted link so you can copy it into your Drive, and deleted from ours within 24 hours). Our pages also load their typefaces from Google Fonts, which means your browser requests those font files from Google’s servers when a page loads.
Google LLC also processes site usage statistics for us via Google Analytics — but only in browsers that have accepted analytics on our cookie banner. See section 7 for exactly what that involves and how to change your choice.
Auto Classmate sets cookies that are essential to running the service, plus — only if you consent — Google Analytics cookies that help us understand which pages and tools are most useful to teachers. We set no advertising or cross-site tracking cookies, and no third party tracks you across other websites through our pages. Essential cookies require disclosure but not consent under EU (GDPR/ePrivacy) rules; the analytics cookies are set only after you choose “Accept analytics” on our cookie banner — if you choose “Essential only” (or never answer), Google’s script is never even loaded and no analytics cookie is ever set in your browser.
The cookies we set:
ac_v) — a random first-party identifier that gives each browser its own free-tool allowance so visitors sharing a school network aren’t lumped together, and helps prevent abuse; expires after one year; contains no personal information and is not used for tracking.ac_preview) — only exists if you were given a preview link before launch; lets that browser view the site while it is otherwise hidden._ga and _ga_*) — set by Google Analytics only after you accept analytics on our cookie banner; used to count visits and understand how the site is used, in aggregate; persist for up to two years unless you clear them; the measurement data is processed for us by Google LLC and retained in our analytics account for 14 months. Advertising features are switched off — we send Google a “denied” signal for all ad storage and ad personalization, permanently.You can withdraw or change your analytics choice at any time: — the banner will ask again, and choosing “Essential only” stops analytics in this browser immediately. (Cookies already set can be removed in your browser’s site-data settings.)
Two service providers may set their own cookies in specific flows: Stripe sets cookies on its secure checkout and billing pages (governed by Stripe’s privacy policy), and if you use the accessibility widget it stores your accessibility preferences (contrast, text size, and similar) so they persist between visits — a setting you chose, used for nothing else.
We also use your browser’s local storage for interface preferences — things like a collapsed panel, a dismissed notice, or an unsent draft. Local storage never leaves your browser and is not transmitted to us or anyone else.
